Entries and Nominations
If you are going to compete at an event you must nominate through the following procedure. To avoid any confusion for our Nomination Secretary or for the organising club please follow the procedure outlined below. Note: this is for PCAQ events held by outside clubs – this process does not apply for TPC Rally days or In-house events. 
 

1. Submit a Horse and Rider Details Form

Fill out a Horse and Rider Details form, available here. It is a PDF form that can be filled out electronically. This only has to be filled out once. It will kept on file and used it to submit your nominations. As a result you only need to provide the following details when nominating:

  • Rider name
  • Horse name
  • Event
  • Class
  • Camping & stabling
  • Helper name and phone number

You can submit these details by email without using the full nomination form. This method is ideal for members who compete regularly.

2. Fill Out a nomination form (The old way)

You can submit your nomination on a nomination from. Use the TPC standard nomination form (Click here) or the form provided by the event organisers. This is to be submitted via email. Hard copy nominations will no longer be accepted. The following information must be included on the form:

  • Rider name
  • Date of birth
  • Horse name
  • PIC number
  • Entry fee
  • Class or age group
  • PCAQ membership number
  • Horse's performance card number
  • Helpers name and phone number

Nominations & payment must be submitted at the same time. Please use the direct deposit details below. Please note that the nominations account is a completely different account to the Pony Club General Account. Use the following account details for nominations only.

Payment Reference: Your last name and the discipline abbreviation of the event you are attending. Eg. McLoughlin SJ.

 

CASH OR CHEQUE IS NO LONGER ACCEPTED

 

Late Nominations

All nominations MUST be submitted at least 4 days prior to the close of nominations indicated on the event programme. This is especially important for nominations through direct deposit or cheque which may take a few days to clear. Nominations will NOT be submitted unless payment is received. 

I cannot guarantee that a late nomination will be accepted, so make sure that you plan ahead and get your nominations in early. Late nominations must paid in cash.

 
Performance Cards
If you are competing at an official event you are required to show your performance card when collecting your back numbers. The card will be held by an official until the competition is over, as if you place you will need your card filled and signed by an official for your points to count. This card is available from PCAQ, through the club secretary, for a small fee. A different card is required for each different type of event e.g. one for dressage and one for showjumping etc.
 
SCRATCHING/REFUND PROCEDURE
 
If you have nominated for an event and for any reason you are unable to attend you need to notify the Nominations Secretary.  That way we have a full record of who attended the event. 
 
Please provide the following information.
 
*  The name of the Event
*  The date of the Event
*  The class you were in
*  Your name
*  Your horses name
*  The reason for being unable to attend - (give details)
*  Vet / Medical Certificate - (where applicable)
*  The amount that you have paid
 
If you are scratching the day before or the day of the event you must contact the host club directly and notify the Nominations Secretary.
 
Once we have received this information the Nomination Secretary will notify the Host Club that you will not be attending and where applicable request a refund. We will always endeavor to facilitate a refund however depending on the circumstances you may not be eligible and will have to forgo your nomination fee. Once we have heard from the Host Club we will notify you of the outcome.
